Creating a partner program is the foundation of your partner ecosystem in Kiflo. Once a program exists, you can invite partners into it, define tiers, and control exactly what those partners can see and do in the portal.

Create a new program

Open the Programs menu

From the top navigation bar, click Programs.
If you don’t see the Programs menu, click the three-dots (⋯) button in the top navigation to reveal additional menu options.

Add a new program

Click the Add a new program button.

Name your program

Enter a descriptive name — for example, Referral Partner Program or Reseller Program — and click Add.Your new program is now created and appears in the Programs list.

Customise your program settings

After creating the program, click on it and navigate to the Settings tab to configure the options below. Each section is independent, so customise only what you need.

Automated emails

Kiflo can automatically send emails to partners at key moments in their application journey. This keeps prospects informed without any manual effort on your part.

Open Automated emails

Inside your program, click Edit next to Automated emails.

Configure each trigger

Choose an email template for each of the three events:
  • Acknowledge partner signup — sent when a prospect submits an application form on your website
  • Notify accepted partner — sent when you accept an application
  • Notify rejected partner — sent when you reject an application

Save

Click Save to activate the automated emails.
You can create and customise email templates from Manage → Email templates before setting them up here.

Terms & Conditions

Require partners to accept your T&Cs the first time they access the portal.

Open the T&Cs section

Inside your program page, scroll down to the Terms and Conditions section and click Edit.

Enable and paste your link

Toggle Terms and Conditions on and paste the URL that points to your T&Cs document.

Save

Click Save. From now on, any partner in this program will be prompted to accept the T&Cs on their first portal login.
T&Cs are scoped to the program — partners in other programs are shown only the T&Cs defined for their own program.

Portal feature settings

Fine-tune what partners in this program can do inside the portal. Navigate to the program’s Settings tab, where you can toggle options such as:
  • Prevent partners from submitting leads
  • Prevent partners from registering deals
  • Prevent partners from updating deals
  • Prevent partners from changing the deal stage
  • Hide specific pages from the partner portal
  • Allow the partner’s main contact to manage their own team members
Adjust each toggle to match your program’s collaboration model and click Save when done.

Application form

Connect an external sign-up form so prospective partners can apply to join this program directly from your website.

Build your form

Create your partner application form using your preferred tool — for example, a custom form with the Kiflo JS SDK, the REST API, Google Forms connected via Zapier, or WPForms on WordPress.

Set applicant status

Ensure that any partner created through the form uses the Applicant status in Kiflo. New applicants appear on the program’s Applications tab.

Review applications

Go to Programs, select the program, and open the Applications tab to accept or reject incoming applications.
You can add a New partner applications widget to your Home dashboard so you can review applications the moment you log in.
