The three parts of a deal registration
A deal registration in Kiflo is made up of three distinct forms, each of which you can customize independently:- New Deal — Core deal information: deal name, expected close date, amount, and any custom properties you define.
- Line Items — The products the partner intends to resell, with quantities and prices. This step is optional and must be explicitly enabled per program.
- Client Information — Details about the end customer (contact name, email, company, etc.).
Line items are a Scale plan feature. If you are on a lower plan, the Line
Items step will not appear during deal registration.
Customize the deal registration form
Add, remove, reorder, and configure properties for all three parts of the form from Account Settings → Properties → Deals.1
Open Account Settings
Click your name in the top-right corner and select Account Settings.

Go to Properties → Deals
Click Properties in the left menu, then select the Deals tab.

Add or remove properties
Click Add property to create a new field. Set the Type (text, number, date, dropdown, etc.), enter a Name, and add an optional Placeholder to guide partners. Delete unwanted properties using the remove action on each row.Properties listed under Contacts correspond to the Client Information step of the deal registration.

Mark fields as required
Enable the Required toggle on any property partners must complete before submitting.

Order the fields
Drag properties into the order you want. Put required fields at the top so partners encounter them first.
Best practices
- Lead with required fields. Partners read forms top to bottom. Required fields at the top reduce incomplete submissions.
- Limit the number of fields. Ask only for what you genuinely need to make an approval decision. Every extra field increases friction.
- Use the right property type. A dropdown for “Deal type” or a date picker for “Expected close date” produces consistent, filterable data.
- Add placeholders. A hint like e.g. 50,000 inside an amount field tells partners exactly what format you expect.
How partners register deals
Partners register deals from the Deals section of their partner portal. They click Register a deal, complete the three-form flow (New Deal → Line Items if enabled → Client Information), and submit. The deal immediately appears in your admin Deals view with a Pending status.You can prevent partners in a specific program from registering deals at all.
Go to Programs → [Program] → Settings and disable the deal registration
option. Partners in that program will no longer see the Register a Deal option
in their portal.
Approve or decline an incoming deal

Open the deal
Go to Deals in the admin navigation and click on the pending deal.

Review the details
Check the deal information, client details, and any attached line items.

Approve or decline
Click Approve to accept the deal registration, or Decline to reject it. The partner receives an email notification either way.

Set expiration dates (on approval)
When approving, you can set a Deal expiration date and an Expiration reminder date. The defaults from your Account Settings are pre-filled; override them here if needed.
Configure the validation strategy
By default, anyone on your team can approve or decline a deal. You can tighten this to the deal’s assigned owner, or open it up to automatic approval.1
Open Account Settings
Click your name in the top-right corner and select Account Settings.

Allow resellers to select products (line items)
If you work with resellers who need to specify which products they intend to sell, you can enable line items on a per-program basis.Set up your product catalog
Before partners can select products, define your products and prices in Kiflo’s product catalog. Go to Account Settings → Products and add each product with its default unit price.Enable line items for a program

Open the program
Go to Programs and select the program where you want to enable line items.

Configure line item permissions
Scroll to the Line items section and configure the options:
- Allow partners to view line items — Partners can see the Line Items tab on their deals.
- Allow partners to update line items — Partners can select products and quantities during deal registration and edit line items on existing deals. If disabled, the Line Items step is hidden during registration.
- Allow partners to view total deal amounts & line item prices — Partners see unit prices and deal totals. Uncheck this if you want partners to select products without seeing prices (useful when you have both resellers and distributors with different pricing).

Save
Click Save.
What are line items?
A line item ties one product to a deal with a quantity, unit price, and total. Line items are visible on the Line items tab of each deal. Channel managers can always add, edit, or delete line items — including overriding the default unit price — regardless of what partners are permitted to do.Line items are available on the Scale plan only.
Prevent partners from registering deals
To stop partners in a specific program from submitting new deal registrations:- Go to Programs and open the relevant program.
- Click the Settings tab.
- Find the deal registration toggle and disable it.
- Click Save.
