Certification Statuses
Every certification assigned to a partner team member has a status that reflects where it is in its lifecycle:Create a Certification

Navigate to Certifications
From the main menu, click Manage, then select Certifications.

Click New Certification
Click the New certification button.

Name Your Certification
Enter a clear name for the certification — for example, “Sales Specialist”, “Technical Engineer”, or “Platform Fundamentals”.

Configure Expiration Settings (Optional)
If the certification expires after a set period, fill in the following fields:
- Validity period — The number of months the certification is valid from the date a partner team member acquires it (for example, 12 months for a one-year certification)
- Expiration reminder email template — The email sent to the partner team member when the certification is approaching its expiry date. Leave empty if you do not want a reminder sent.
- Expiration reminder days — How many days before the expiry date to send the reminder (for example, 31 days)
- Certification expired email template — The email sent to the partner team member on the exact day the certification expires. Leave empty if you do not want an expiry notification sent.

Click Add
Click Add to save the certification. It is now available to assign to partner team members.
Give a Certification to a Partner
You can assign a certification to a partner team member from two places.- From a Partner's Page
- From the Certification Page

Open the Partner's Page
Navigate to the partner whose team member you want to certify.

Click the Certifications Tab
Select the Certifications tab on the partner’s page.

Give the Certification
Click Give certification, then choose the certification you want to assign.

Set the Status
Choose whether the certification is Active or In Progress:
- Active — The team member has already passed the certification. Enter the acquisition date (which can be a date in the past) to record when they earned it.
- In Progress — The team member is still working on the certification. You can update the status and set the acquisition date later when they pass.
Notify Partners When Certifications Expire
Automatic expiration notifications ensure partners always know when it is time to renew. You configure these notifications directly on each certification.1
Open the Certification
Go to Manage > Certifications and click the certification you want to configure.

Edit the Certification Settings
Click Edit in the About this certification section.

Set a Validity Period
Enter the number of months the certification remains valid after being acquired — for example, 12 for a one-year certification.

Configure the Reminder Email
Select the expiration reminder email template to be sent before the certification expires, then set the number of reminder days (for example, 31 days before expiry).

Configure the Expiry Email
Select the certification expired email template to be sent on the actual expiry date.

Save Changes
Click Save. Kiflo will automatically send the configured emails to partner team members on the appropriate dates.
Find Expired Certifications
When you need to follow up with partners about renewals, filter certifications by status to surface all expired ones.1
Go to Certifications
Navigate to Manage > Certifications and open the relevant certification.

Apply a Status Filter
Click Show filters, then select Status, then choose Expired from the filter options.

Review and Follow Up
You now see all partner team members whose certification has expired. Reach out directly to encourage them to renew and keep their status current.
A certification team member with Expired status has not yet renewed. Once they complete the renewal process, update the status to Renewed to reflect the current state accurately.
