The Team section of your account settings is where you manage the people and the data model behind your Kiflo workspace. You can invite colleagues, define what each person can see and do, customize the fields used across the platform, and set up the products partners sell on your behalf.

Invite coworkers

Give your colleagues access to Kiflo to help manage partners, review leads and deals, and collaborate on programs.

Open Team settings

Go to Manage in the top navigation, then click Team.

Add a user

Click the Add a User button.

Enter coworker details

Fill in the required information:
  • First Name
  • Last Name
  • Email Address
  • Phone Number (optional)
  • Job Title (optional)

Assign a role

Select the appropriate role for this coworker. See the roles section below for guidance.

Send the invitation

Click Save or Invite. Your coworker will receive an activation email with a link to set up their account. They must click that link to activate their access.
Follow the principle of least privilege — grant coworkers only the permissions they need to do their job.

Coworker roles and permissions

Kiflo supports multiple roles for internal team members. Each role determines what actions a coworker can perform and which data they can access. Refer to the User roles documentation for a full breakdown of permissions per role. When in doubt, start with a more restrictive role and upgrade as needed.

Manage partner data visibility

You can control which partner properties your coworkers can see. This is useful when certain data (such as commission rates or contract terms) should only be visible to specific team members. To change property visibility:
  1. Go to Account Settings > Properties.
  2. Select the object type (e.g. Partners, Leads, Deals).
  3. For each property, toggle the visibility setting to show or hide it for coworkers.

Customize properties

Properties define the data model for every object in Kiflo — Leads, Deals, Contacts, Transactions, Customers, Partners, Rewards, and Products. Add custom fields, set them as required, reorder them, or remove them to match your business process.

Add a custom property

Open Properties

Click your account menu in the top-right corner, go to Account Settings, and select Properties.

Select an object

Choose the object type you want to customize: Leads, Deals, Contacts, Transactions, Customers, Partners, Rewards, or Products.

Add a property

Click the Add button on the selected object.

Configure the property

Fill in the property details:
  • Name — A descriptive label for the field.
  • Type — Choose the data type (text, number, date, dropdown list, email, etc.). Pick the correct type to ensure data integrity.
  • Required — Check this option if partners or coworkers must fill in this field before saving a record.

Save

Click Save to apply your changes. The new property appears in all relevant forms and views.

Reorder properties

The order properties appear in the settings panel is the order they display on forms, tabs, and record views. To reorder:
  1. Go to Account Settings > Properties and select the object.
  2. Drag and drop properties to your preferred order.
  3. Click Save to preserve the new order.

Remove a property

Removing a property does not delete stored data. Existing values remain accessible via the Kiflo API even after the property is removed from the interface.
  1. Go to Account Settings > Properties and select the object.
  2. Click the remove (delete) icon next to the property.
  3. Click Save to apply the change.

Manage products and prices

Define the products your partners can reference when registering deals. Kiflo automatically selects the best price for each partner based on their program level.

Create a product

Open Products

Go to Manage > Products.

Add a new product

Click Add new product and fill in the product name and any other required fields.

Save

Click Save. The product is now available for partners to select during deal registration.
You can add extra properties to products (such as SKU) by going to Account Settings > Properties > Products.

Define prices

For each product, you can create multiple price entries scoped by partner program or program level:

Open the product

Go to Manage > Products and click the product you want to configure.

Add a price

Click Add price and fill in:
  • Name — An internal label for this price (not shown to partners).
  • Price per unit — The unit price used to compute the total deal amount automatically.
  • Currency — Select a currency if multi-currency is enabled.
  • Apply to — Leave empty to apply to all partners, or select a specific program level to restrict this price to qualifying partners.

Save

Click Save. Repeat to add additional price tiers.

How Kiflo selects prices for partners

When a partner selects a product during deal registration, Kiflo applies the following logic to find the best price:
  1. Collect all prices for the product in the deal’s currency.
  2. Filter to prices available for all partners or prices scoped to a program level the partner currently belongs to.
  3. If more than one price qualifies, select the lowest price.
You can only define one price per currency for all partners, and one price per currency per program level. This ensures Kiflo can always resolve a single price automatically.

Export data

To export records from Kiflo, open the relevant list view (Partners, Leads, Deals, etc.) and use the Export option in the toolbar. Kiflo exports the visible columns as a CSV file you can open in any spreadsheet application.
