Kiflo sends emails to your partners on your behalf — invitation emails, acknowledgment emails, application status notifications, and more. This page walks you through every email setting so those messages arrive from your own domain, carry your brand voice, and trigger at exactly the right moment.

Configure your sending domain

By default, Kiflo sends all emails from the kiflo.com domain. Configure your own domain so emails appear to come from your company.

Open Email setup

Go to Manage > Emails setup.

Add your domain

Click Add sending domain, enter your domain (e.g. yourcompany.com), and click Add.

Add DNS records

Kiflo displays a set of DNS records you need to add to your DNS provider. Copy each record and add it in your DNS management console.

Validate DNS

Return to Kiflo and click I’ve added these records. Kiflo will verify your DNS configuration. Propagation usually completes within minutes, but can take a few hours.
You must complete the DNS setup before you can set a custom sender email address. Kiflo requires authorization to send emails from your domain.

Change the sender email address

By default, Kiflo sends emails from noreply@kiflo.com. Once your sending domain is verified, you can change this to any address on your domain.

Open Email setup

Go to Manage > Emails setup.

Edit the sender address

Find the Send Emails from field and update it to your preferred address (e.g. partners@yourcompany.com).

Save

Click Save to apply the change.
Your sending domain must be verified before you can use a custom sender address. Complete the sending domain setup first.

Customize email templates

Kiflo includes editable email templates for every automated email your partners receive. Available templates: To edit a template:
  1. Go to Manage > Email templates.
  2. Click the template you want to edit.

Template settings

Each template lets you configure:
  • From Name — The display name in the recipient’s inbox (e.g. your company name or channel manager’s name).
  • Reply-To — The email address that receives replies from partners.
  • BCC — An address to receive a copy of every email sent using this template (useful for CRM tracking or team visibility).
  • Invitation Email toggle — Mark this template as the active invitation email so it is used when you invite new partners.

Placeholders

Insert dynamic placeholders in the email body to personalize each message. Available placeholders: You can customize the link text by editing the content after the colon — for example, change {{ActivationUrl:click here}} to {{ActivationUrl:Activate your account}}.

Test before sending

Click the Test button on any template, enter a recipient email address, and Kiflo sends a preview with placeholders replaced by your current account data.

Set up automated emails for partner programs

Configure per-program automated emails to acknowledge applications, accepted partners, and rejected partners.

Open Programs

Go to the Programs tab in the main navigation.

Select a program

Click on the program you want to configure.

Edit automated emails

Click Edit next to Automated emails.

Assign templates

Use the dropdowns to assign an email template to each trigger:
  • Acknowledge partner signup — Sent when a prospect submits an application.
  • Notify accepted partner — Sent when you accept the application.
  • Notify rejected partner — Sent when you reject the application.

Save

Click Save to activate the automated emails for that program.
Sending a prompt acknowledgement email when a partner applies builds trust from day one. Use the Acknowledge partner signup template to confirm receipt automatically.

Set up acknowledgement emails for leads and deals

Send automatic confirmation emails to partners when they submit a lead or register a deal.
  • Lead acknowledgement — Go to the lead settings in your program and assign the acknowledgement template to the lead submission event.
  • Deal acknowledgement — Go to the deal settings in your program and assign the acknowledgement template to the deal registration event.
Both use the same email template editor described above. The {{LeadUrl}} and {{DealUrl}} placeholders link partners directly to the record they submitted.

Send emails per partner language

If your partner base spans multiple languages, Kiflo can send emails in each partner’s preferred language. Create separate email templates for each language and assign them to the same program events. Kiflo automatically selects the template that matches the partner’s language setting when sending a notification.
