The lead submission form is what partners fill in when they submit a new lead from the partner portal. Keeping this form well-structured — with the right fields, clear labels, and sensible defaults — helps partners give you the information you need while making the submission process as fast as possible for them. This page covers how to customize the form and how to manage the leads that flow in as a result.
You define the fields on the lead form by managing Lead Properties in Account Settings. Any property you add or remove here is reflected immediately in both the admin lead view and the partner’s lead submission form (including the standalone lead form).
Open Account Settings
Click your name in the top-right corner, then click Account Settings.
Go to Properties → Leads
Click Properties in the left menu, then select the Leads tab.
Add or remove fields
Click Add property to create a new field. Choose a Type (text, number, date, dropdown, etc.), enter a Name, and optionally add a Placeholder to guide partners on what to enter. To remove a field, use the delete action on that property’s row.
Mark fields as required
Toggle the Required option on any property you need partners to fill in before they can submit the form.
Order the fields
Drag properties into the order you want them to appear. Place required fields at the top so partners see them first.
Keep the form short. Ask only for information partners can realistically
obtain from a prospect. Lengthy forms lead to incomplete submissions or
partners skipping lead registration altogether.
Best practices
- Put required fields first. Partners will prioritize the fields at the top of the form. Surfacing required fields early reduces incomplete submissions.
- Choose the right property type. Using a dropdown instead of free text for fields like “Industry” or “Deal size range” ensures consistent, reportable data.
- Use placeholders. A placeholder like e.g. acme@company.com shows partners exactly what format you expect.
Share a lead with a partner
Use this flow when you are the source of a lead and want to hand it off to a partner for follow-up (for example, passing an inbound inquiry to the right reseller).
Go to Leads
Click Leads in the main navigation.
Add a new lead
Click Add a new lead.
Select the assigned partner
Choose the Assigned partner from the dropdown. Optionally select an Assigned contact (the specific sales rep on the partner’s team) who will receive the notification email.
Fill in the form and submit
Complete the lead details and click Add. The lead is created with a Pending status.
The partner sees Accept and Refuse buttons on the lead in their portal. You receive a notification as soon as they respond.
Submit a lead on behalf of a partner
Use this flow when a partner sends you lead information outside of Kiflo (by email, phone, etc.) and you want to log it in Kiflo with the partner as the source.
Go to Leads and add a new lead
Click Leads, then Add a new lead.
Select the partner and check the source option
Choose the Assigned partner, then check the option “This partner is the source of the lead”. Optionally choose an Assigned contact.
Fill in the form and submit
Complete the details and click Add.
When you submit on behalf of a partner the lead is automatically set to
Accepted — no further validation is required. Kiflo treats your manual
entry as implicit approval.
Re-assign a lead to a different partner
If you shared a lead with a partner but want to redirect it, you can reassign it at any time while it remains in Pending status.
Open the lead
Navigate to the lead you want to reassign.
Click Share
Click the Share button on the lead detail page.
Select the new partner
Choose a New Assigned Partner and, optionally, a New Assigned Contact.
Set a deadline and add notes
Optionally set a deadline for the partner to accept or decline. Add an Additional note — you can choose whether this note is visible to the partner or kept internal.
Confirm
Click Share. The new partner receives a notification email and the lead moves to their queue.
Auto-accept leads
If you want every partner-submitted lead to be approved without manual review, switch your validation strategy to No validation.
Open Account Settings
Click your name in the top-right corner, then click Account Settings.
Go to Leads settings
Click Leads in the left menu.
Set the validation strategy
In the Validation strategy section, select No validation.
Save
Click Save. From this point, all incoming leads are accepted automatically.
The three available validation strategies are:
Detect channel conflicts on leads
Channel conflict detection alerts you when a newly submitted lead’s email domain matches an existing lead, deal, or customer already in your account. This prevents two partners — or a partner and your direct sales team — from unknowingly competing for the same prospect.
Enable conflict detection
Open Account Settings
Click your name in the top-right corner, then click Account Settings.
Go to Leads settings
Click Leads in the settings menu.
Enable the option
Check Enable channel conflict detection, then click Save.
Once enabled, Kiflo checks the client’s email domain against all existing leads, deals, and customers. If a match is found, the conflict is flagged on the lead so you can review it before accepting.
Detect conflicts in your CRM
If you need to cross-reference your CRM data (for example, HubSpot contacts) as well as Kiflo data, you can use Zapier with the Create Channel Conflict action. Kiflo provides a ready-made Zap template that checks HubSpot for conflicts when a new lead arrives.
Use CRM-based conflict detection when your direct sales pipeline lives outside
of Kiflo. Combining both sources gives you the most complete picture before
you assign a lead to a partner.
