# HubSpot Integration — Sync Partners and Deals to CRM

> Connect HubSpot to Kiflo for a bidirectional sync of partners, leads, deals, contacts, and notes — including deal stage and field mapping.

The native HubSpot integration keeps your CRM and your PRM in sync automatically. Partners, leads, deals, contacts, and notes flow bidirectionally between the two platforms, so your sales team and partnership team always work from the same data — without manual exports or copy-pasting.

## What syncs between Kiflo and HubSpot

All standard and custom fields can be synchronized in both directions.

## Enable the HubSpot integration

  The user who connects HubSpot to Kiflo must have permission to create and modify properties in HubSpot.

    Go to **Manage** in the top navigation, then click **Integrations**.
  </Step>

  <Step title="Select HubSpot">
    Click the **HubSpot** tile.
  </Step>

  <Step title="Add to Kiflo">
    Click **Add to Kiflo** to start the connection flow.
  </Step>

  <Step title="Authenticate with HubSpot">
    You will be redirected to HubSpot. Click **Connect App** and follow the on-screen prompts to authorize Kiflo.

Once connected, proceed to the next section to turn on the sync workflows.

## Turn on sync workflows

The integration includes four pre-built sync workflows. Each one can be enabled or disabled independently depending on your process.

### Workflow 1 — Sync partners to HubSpot Companies

Turn on **Create or update Company in HubSpot when Partner is created in Kiflo** to push new partners and their team members to HubSpot as Companies.

* If a Company with the same domain already exists in HubSpot and is not yet linked to Kiflo, it will be updated.
* If the Company is already linked to Kiflo, it will not be overwritten.
* After the initial sync, updates flow bidirectionally between the Partner in Kiflo and the Company in HubSpot.

### Workflow 2 — Sync leads to HubSpot Contacts

Turn on **Create or update Contact in HubSpot when Lead is created or accepted in Kiflo** to push leads to HubSpot as Contacts.

Choose when to trigger the sync:

| Option       | When to use                                                                      |
| ------------ | -------------------------------------------------------------------------------- |
| **Created**  | Send every new lead to HubSpot so your sales team can qualify them from the CRM. |
| **Accepted** | Send only accepted leads to keep your CRM clean and free of unqualified entries. |

* If a Contact with the same email already exists in HubSpot and is not yet linked to Kiflo, it will be updated.
* After the initial sync, updates flow bidirectionally.

### Workflow 3 — Sync deals to HubSpot Deals

Turn on **Create Deal in HubSpot when Deal is created or accepted in Kiflo** to push deals to HubSpot.

Choose when to trigger the sync:

| Option       | When to use                                                        |
| ------------ | ------------------------------------------------------------------ |
| **Created**  | Send every new deal registration immediately.                      |
| **Accepted** | Send only accepted deals to avoid polluting your HubSpot pipeline. |

<Note>
  Unlike Contacts, there is no deduplication for Deals — a new Deal is always created in HubSpot. A Contact is automatically created or matched and attached to the new Deal.
</Note>

### Workflow 4 — Convert leads in Kiflo from HubSpot

Turn on **Convert Lead in Kiflo when Contact is associated with Deal in HubSpot** to let your sales team drive lead conversion from the CRM.

When a new Deal is attached to a Contact in HubSpot, Kiflo will:

1. Convert the matching Lead in Kiflo into a new Deal.
2. Link the new Kiflo Deal to the corresponding HubSpot Deal.
3. Link the new Kiflo Contact to the corresponding HubSpot Contact.

  Use this workflow when your internal sales team qualifies partner-sourced leads directly in HubSpot.
</Tip>

### Workflow 5 — Sync notes

Turn on **Sync notes on leads and deals** to keep notes synchronized between Kiflo and HubSpot in both directions.

## Deal stage mapping

Kiflo uses a single deal pipeline while HubSpot supports multiple. You must select the target HubSpot pipeline and map each Kiflo deal stage to a stage in that pipeline.

    Go to **Manage > Integrations > HubSpot**, then open the **Settings** tab.

    Choose the HubSpot deal pipeline where all synced deals should appear.
  </Step>

  <Step title="Map each stage">
    For every stage in Kiflo, select the corresponding stage in the target HubSpot pipeline. Save your changes.
  </Step>

## Field mapping

For each synchronized object — Lead, Deal, or Contact — you can map individual fields and control how updates flow between the two systems.

    Go to **Manage > Integrations > HubSpot**, open the **Settings** tab, and scroll to **Field mapping**.

    Choose **Lead**, **Deal**, or **Contact** to view its available fields.

  <Step title="Map fields">
    For each Kiflo field, select the matching HubSpot property and set the sync direction (Kiflo → HubSpot, HubSpot → Kiflo, or bidirectional).
  </Step>

  <Step title="Save">
    Click **Save** to apply your mapping.
  </Step>

Custom fields from both Kiflo and HubSpot are available for mapping.

## Get leads from HubSpot Forms

You can capture partner-submitted leads directly from HubSpot Forms and route them into Kiflo automatically — no Zapier or manual import required.

### Connect a HubSpot Form to Kiflo

    Go to **Manage > Integrations > HubSpot**, then open the **Forms** tab.
  </Step>

  <Step title="Add a form">
    Click **Add form** and select the HubSpot Form you want to connect.
  </Step>

  <Step title="Map form fields">
    Map each form field to the corresponding Kiflo Lead property.
  </Step>

  <Step title="Assign to a program">
    Optionally assign incoming submissions to a specific partner program.
  </Step>

  <Step title="Save">
    Click **Save**. Submissions from that form will now create Leads in Kiflo automatically.
  </Step>
</Steps>

## Disable the HubSpot integration

To disconnect HubSpot from Kiflo:

1. Go to **Manage > Integrations > HubSpot**.
2. Click **Remove from Kiflo**.

To fully uninstall the Kiflo app from HubSpot:

1. Open `https://app.hubspot.com/integrations-settings` in your browser.
2. Find **Kiflo PRM** in the connected apps list.
3. Click **Actions**, then click **Uninstall**.

<Note>
  Disconnecting the integration stops bidirectional sync. Custom properties created in HubSpot during the integration setup are not deleted. If you reconnect later, syncing will resume.

## Troubleshoot with sync logs

If you notice missing records or unexpected behavior, check the HubSpot sync logs for detailed error messages.

    Each log entry shows the object type, timestamp, status, and a description of any error. Use the filter controls to narrow down by object or date range.
