# Partner Assets: Upload, Organize, and Share Content

> Upload files, add URLs, and organize collateral in your Kiflo Assets library. Control which partners can see each asset by program, group, or individual.

The Kiflo Assets library is the central place where you store and distribute files, documents, links, and videos to your partners. Instead of emailing attachments or maintaining a separate file-sharing tool, you upload everything once, set access permissions, and partners find it directly in their portal.

## Upload an asset

You can add three types of assets from **Manage > Assets**: file uploads, web page URLs, and folders. Click **Add assets** to choose which type to add.

    Navigate to **Manage > Assets**. Any existing assets are listed here. Click **Add assets** to begin.

  <Step title="Choose what to add">
    Select one of the three options:

    * **Upload file(s) from the computer** — drag and drop files or click the grey box to select them. Supports PDFs, documents, and other common file formats. When uploading multiple files at once, permissions apply to all files in the batch and asset names default to their filenames.
    * **Add Web page URL** — enter a URL and a display name to share a link to an external resource such as a landing page, playbook, or shared drive folder.
    * **New Folder** — create a folder with a name and description to group related files together.

    Set the **Who has access** permission before saving. See the [Defining access](#defining-access) section below for the full list of options.

  <Step title="Save the asset">
    * For file uploads, click **Upload**.
    * For URL assets, click **Add**.
    * For new folders, click **Add**.

    The asset now appears in your library and is immediately available to partners who match the access rules you set.

## Defining access

Every asset has a **Who has access** setting that controls which users can see it in the partner portal. You set this when you create an asset or edit an existing one.

    Visible only to your internal coworkers. Partners have no access. Use this for internal-only reference material or documents not yet ready for partners.

    Visible to a specific subset of partners. Choose any combination of:

    * **Program level** — for example, all Gold-tier resellers.
    * **Group** — for example, all partners in the Asia group.
    * **Individual partner** — grant exclusive access to a single partner company.

  <Card title="Everyone" icon="globe">
    Visible to all users — your team and every partner in the portal. Best for universal resources like general brand guidelines or public product sheets.

<Tip>
  Use **Some partners** scoped to a program level to serve different content to different partner types. For example, resellers can see sales decks and pricing guides while affiliates see banner ads and co-branded landing page templates.

## Edit an asset

You can update an asset's name, description, access permissions, or underlying file at any time without deleting and re-uploading.

    Go to **Manage > Assets** and hover over the asset you want to change.

    Click the **Edit** button that appears on hover.

  <Step title="Update the fields">
    You can change:

    * **Name** — the short label partners see in the portal.
    * **Description** — additional context shown alongside the asset.
    * **Access permissions** — update who can see the asset without disrupting existing users.

  <Step title="Replace the underlying file (file assets only)">
    If you need to swap out the file itself — for example, to publish a newer version of a PDF — click **Remove** to detach the current file, then upload the replacement. Click **Update** to save.

<Note>
  Replacing the file on an existing asset preserves the asset's sharing history and access settings. Partners who already had access to the old version will see the updated file automatically.

## Review partner permissions on assets

When you have a large library, it is easy to lose track of which partners can see which files. Kiflo lets you review permissions per asset.

* Go to **Manage > Assets** and click **Edit** on the asset you want to inspect.
* Look at the **Who has access** section.
  * **My team** — no partners have access.
  * **Everyone** — all partners have access.
  * **Some partners** — click **Review permissions** to see a full list of every partner who currently has access based on the programs, groups, or individual selections you configured.

## Share asset links directly

Rather than waiting for partners to find an asset on their own, you can copy a direct link to any asset and share it in an email, Slack message, or onboarding task. Partners who click the link are taken straight to that asset in their portal.

## Co-branded assets

Kiflo supports co-branded assets — documents or templates that include both your brand and a partner's brand. Upload co-branded files as individual assets assigned to the specific partner or partner group they belong to, using the **Some partners** access setting scoped to the relevant partner. This ensures each partner only sees the version branded for them.

## Share videos with partners

You can share video content with partners through Kiflo by adding a video URL as a web page URL asset. Paste the URL of the video (for example, a Loom recording, a YouTube link, or a Wistia page) and set the appropriate access permissions. Partners click the link from their portal and watch the video in their browser.

  Use folders to organize your assets into logical groups — for example, **Onboarding**, **Sales Enablement**, **Marketing Materials**, and **Training Videos** — so partners can navigate directly to the content they need.
