# Deal Pipeline: Stages, Expiration, and Conflict Rules

> Customize deal pipeline stages, manage deal expiration, detect channel conflicts, and convert leads to deals with automatic value copying.

The deal pipeline gives you a visual, stage-by-stage view of every active deal in your partner program. Customizing the stages to mirror your CRM or sales process means your channel data stays consistent with the rest of your revenue operations. This page covers how to configure pipeline stages, manage deal expiration, detect channel conflicts, convert leads to deals, and reassign the source partner.

## Customize deal pipeline stages

By default Kiflo provides a standard set of pipeline stages. You can add, rename, reorder, and delete stages to match your own sales process.

    Click **Deals settings** in the left menu.

    Click the **Configure** button in the **Deal stages** section.

    From this screen you can:

    * **Add a stage** — Click **Add stage**, enter a name, and save.
    * **Rename or delete a stage** — Use the edit and delete action buttons on each row.
    * **Reorder stages** — Use the move buttons on each row to drag stages into the order partners and your team will see them.

  <Step title="Set closed won/lost mapping">
    When editing any stage, set its **Corresponding stage** to either **Closed Won** or **Closed Lost**. Kiflo uses this mapping to calculate win/loss KPIs and to trigger rewards when a deal reaches the Closed Won stage.

<Note>
  Every stage you create or rename is reflected immediately in the partner
  portal. Partners will see the updated stage names when they view or update
  their deals.
</Note>

## Move deals through the pipeline

Once a deal is approved, you and your partners can advance it through stages directly from the deal detail page. Select the new stage from the stage selector at the top of the deal.

<Tip>
  If you want to prevent partners from changing deal stages themselves, go to
  **Programs → \[Program] → Settings** and disable the option to allow partners
  to update deal stages. Your team retains full control while partners can still
  view pipeline progress.

## Manage deal expiration

Deal expiration lets you grant a partner time-limited exclusivity on a registered deal, ensuring they have a protected window to close it. It also encourages partners to keep deal records up to date.

### Enable deal expiration globally

    Click your name in the top-right corner, select **Account Settings**, then click **Deals settings**.

    Enable the **Deal expiration** toggle.
  </Step>

  <Step title="Set default values">
    Enter the **default number of days before a deal expires** and the **default number of days before sending an expiration reminder**. These defaults pre-fill the expiration fields each time you approve a new deal.

    Click **Save**.

When a deal reaches its reminder date or expiration date, both the deal's owner and the partner are notified automatically.

### Set expiration when approving a deal

When you click **Approve** on a pending deal, the approval dialog includes **Deal expiration date** and **Expiration reminder date** fields. The global defaults are pre-filled; change them for this specific deal if needed.

### Change the expiration date on an existing deal

    Scroll down to the expiration properties and set new dates.

### Postpone an expired deal

Once a deal passes its expiration date it is tagged as **Expired**. To give the partner more time:

    Locate the deal (look for the Expired tag) and open it.

    Click the **Postpone** button below the Expired status.
  </Step>

    Enter a new expiration date and reminder date.

  <Step title="Confirm">
    Click **Postpone**. The deal's expiration is extended and the Expired tag is removed.

## Detect channel conflicts on deals

Channel conflict detection prevents two partners — or a partner and your direct sales team — from pursuing the same prospect simultaneously. Kiflo flags a conflict when an incoming deal's client email domain matches an existing deal, lead, or customer.

### Enable channel conflict detection

    Check **Enable channel conflict detection** and click **Save**.

Kiflo now checks every new deal against:

* Existing deals with a client on the same email domain
* Existing leads with an email on the same domain
* Existing customers with an email on the same domain

### Extend conflict detection to your CRM

If your direct sales pipeline lives in a CRM (such as HubSpot), connect it via Zapier using the **Create Channel Conflict** action. Kiflo provides a Zap template that checks HubSpot contacts when a new deal is registered — you can adapt it for your CRM and data model.

<Tip>
  Combining Kiflo-native conflict detection with a CRM Zap gives you the
  broadest possible coverage. Neither source alone is complete if your direct
  sales team operates outside Kiflo.

## Convert a lead to a deal (with value copying)

When an accepted lead is ready to move into your sales pipeline, convert it to a deal directly from the lead detail page. To avoid re-entering information that is already on the lead, set up matching properties between leads and contacts before you convert.

### Set up property mapping

    Click your name in the top-right corner, select **Account Settings**, then click **Properties**.

  <Step title="Check the Leads and Contacts tabs">
    Compare the properties you have on the **Leads** tab with those on the **Contacts** tab. Any property whose **Internal name** is identical on both entities will be automatically copied when you convert a lead to a deal.
  </Step>

  <Step title="Add missing properties">
    If a lead property you want to copy does not exist on the Contact entity (or vice versa), add it — making sure the **Internal name** matches exactly (it is case-sensitive).
  </Step>

Once mapping is in place, converting a lead to a deal populates the client contact fields automatically, saving you from entering the same information twice.

<Note>
  The Internal name is set when you first create a property. It cannot be
  changed after creation, so set it carefully when adding new properties.
</Note>

## Change the source partner on a deal

If a deal was registered or attributed to the wrong partner, you can update the source partner at any time without losing any deal history.

    Navigate to the deal you want to update.

  <Step title="Go to the Partners tab">
    Click the **Partners** tab. You will see all partners currently associated with the deal.
  </Step>

  <Step title="Edit the partner">
    Hover over the partner you want to make the source and click **Edit**.
  </Step>

  <Step title="Toggle the Source flag">
    Enable the **Source** toggle for this partner.
  </Step>

  <Step title="Save">
    Click **Save**. The selected partner is now the source partner on the deal.
  </Step>

<Warning>
  Changing the source partner affects reward calculations if you have rewards
  tied to deal events. Verify your reward rules before reassigning the source
  on an approved or won deal.
